POSITION DESCRIPTION FOR ADMINISTRATIVE ASSOCIATE

Background

Grace United Church wishes to hire an Administrative Associate. The objective of this position is to relieve our Minister of administrative responsibilities so that she can concentrate on her most important work – spiritual development and pastoral care.

Reporting Relationship:

The Administrative Associate will report to the Minister.

Responsibilities:

• In general terms, to support the Minister by ensuring she has the tools and resources to do the best job possible.

• To act as spokesperson when the Minister is not available.

• To supervise all staff, with the oversight and support of the Ministry & Personnel Committee.

• To approve payments that fall within the approved budget, with the oversight and support of the Treasurer and Finance Committee. To work with the Treasurer and the Bookkeeper to provide day to day financial information and receipting.

• To stay in touch with the “heart and soul” of Grace United through regular attendance at committee meetings and interaction with members of the congregation.

• To maintain the One Page Generative Plan, including the reporting of Key Performance Indicators.

Required Skills and Traits:

• A basic understanding of finance and how to run the “business side” of an office. Should be able to read and understand financial statements and understand the procedures that need to be followed for a “clean audit”. Should understand the basics of human resource management.

• Experience with database management would be an asset.

• Good interpersonal skills. The ability to interact with congregants and community members effectively and diplomatically.

• Must be spiritually awake to God’s leading.

Work Conditions:

• Due to the level of activity within the Church, we expect that this position will require 40 hours per week. The majority of this will be normal office hours, but some evening and weekends work will be required, including attendance at committee meetings. We would also expect regular attendance at Sunday worship.

• Compensation would be competitive with other charities and non-profit organizations in the community.
